Winter Kit Hire - Terms and Conditions

1. Booking & Payment
Deposit: A 25% non-refundable deposit is required to secure your winter kit hire booking. The remaining balance is due upon collection of the equipment.
Payment Methods: We accept payment via credit/debit card through our secure Stripe payment system.
Hire Periods Available:

  • 1 day

  • 2 days

  • 3 days

  • 5 days

2. Collection & Return
Collection: Equipment must be collected from our agreed location at the time specified in your booking confirmation. Please bring valid photo ID.
Return: All equipment must be returned by the agreed time on the final day of your hire period. Late returns may incur additional charges at the daily hire rate.
Inspection: Equipment will be inspected upon collection and return. Please check all items are present and in good condition before leaving.


3. Equipment Care & Responsibility
Your Responsibility: You are responsible for all hired equipment from the moment of collection until it is returned and inspected by us.
Proper Use: All equipment must be used appropriately and in accordance with manufacturer guidelines. Equipment is hired for winter mountaineering activities in Scotland only.
Damage or Loss: You are liable for any damage beyond normal wear and tear, or loss of equipment. Repair or replacement costs will be charged at current market rates.
Cleaning: Please return equipment in a reasonably clean condition. Excessively dirty equipment may incur a cleaning charge of £20.


4. Weather & Safety Policy
Poor Conditions - Our Advice: If we advise that conditions are genuinely dangerous or unsuitable for your planned activity, we will offer a full refund or the option to reschedule to alternative dates within 12 months at no extra charge.
Personal Choice: If you choose not to proceed with your hire due to personal preference about weather conditions (where we have not advised against going out), your deposit is non-refundable. However, we will do our best to reschedule your booking to alternative dates within 12 months, subject to availability.
Your Safety: Winter mountaineering carries inherent risks. You must have the appropriate skills, experience, and knowledge to use the equipment safely. We recommend hiring a qualified guide if you are inexperienced.


5. Cancellations & Changes
Cancellation by You:

  • More than 14 days before collection: Deposit refundable minus 10% administration fee

  • 7-14 days before collection: 50% of deposit refundable

  • Less than 7 days before collection: Deposit non-refundable (but may be transferred to future dates within 12 months, subject to availability)

Cancellation by Us: In the unlikely event we need to cancel your booking, we will provide a full refund of all payments made.
Changes to Booking: Changes to dates or equipment are subject to availability. Please contact us as soon as possible if you need to make changes.


6. Insurance
We strongly recommend you have appropriate personal accident and equipment insurance. Our equipment is insured, but this does not cover your liability for damage or loss during the hire period.


7. What's Included
Your hire package includes all items listed in your booking confirmation. Please check your confirmation email carefully and contact us immediately if anything is unclear.


8. Age Restrictions
Hirers must be 18 years or older. Equipment hired by adults may be used by supervised minors with appropriate skills and experience.


9. Liability
Scottish Rock & Water cannot be held liable for any injury, loss, or damage arising from the use of hired equipment. You use the equipment entirely at your own risk.


10. Data Protection
We collect and store your personal information in accordance with GDPR regulations. Your data will only be used for booking administration and will not be shared with third parties. For our full privacy policy, please visit www.scottishrockandwater.com


11. Disputes
In the unlikely event of a dispute, we will work with you to reach a fair resolution. Any disputes that cannot be resolved directly will be subject to Scottish law.
By proceeding with your booking and paying the deposit, you confirm that you have read, understood, and agree to these terms and conditions.
